How to Use the @PrintByXerox App

@PrintByXerox is an application in the Xerox App Gallery that is free to download and available to users with a compatible Xerox printer. 

But how do you use it? 

Since printing from your phone has become increasingly common with the advancement of technology, it’s important to know how to do it---especially because it can save you time and is free to do.  

As a Xerox Platinum Solutions Partner, we have specific training on their machines, and one of the main features associated with their printers/copiers is apps. 

Just like your smartphone, these apps can be downloaded to your device to help you become more efficient in your daily operations. 

One of the more popular applications on the Xerox App Gallery is the @PrintByXerox app, which will be the topic of discussion today. 

We’ll be providing a description of the app and steps on how to use it correctly. We’ll also be going over other ways you can print or scan documents from your phone so you can see some alternatives if you don’t want to use the app. 

What Is @PrintByXerox? 

Published in 2019, the @PrintByXerox is a free app located in the Xerox App Gallery and can be used as a medium to print from your phone. 

If you have a machine that comes equipped with Xerox ConnectKey technology, you will be able to download and use the app. 

ConnectKey technology is an all-encompassing feature specifically built for Xerox machines that include a touchscreen user interface and the ability to download apps, among other things See the graphic below for all of Xerox’s ConnectKey-enabled devices:

Now, how do you use the @PrintByXerox app? Let’s go over the exact steps you need to follow in the next section: 

How to Use the @PrintByXerox App 

There are only two steps you need to take in order to print from your phone using the @PrintByXerox app. They are: 

  1. Send an email with an attachment of the documents you need to print to the Print@PrintByXerox.com address. NOTE: You do not need to have the app download on your phone to complete this.    

  2. You will then receive a code to your email that you can use at the machine to finish the print job you sent to the @PrintByXerox email address. Once you receive that code, you can use it on any machine that has the @PrintByXerox app downloaded on it.    

You can only print documents using the @PrintByXerox app, but we will discuss how to scan a document from your phone in the next section. 

The @PrintByXerox app is Xerox’s specific app for mobile printing, but many other printer brands have their own applications for mobile printing.   

Examples include Canon’s PRINT App, which lets you scan photos or documents from your mobile device, or HP Smart, which offers a similar mobile printing experience as others with the download of the HP Smart app on all necessary devices.     

Whatever brand of printer you have will likely have some sort of application you can use to print from your phone. 

What Other Ways Can You Print From Your Phone? 

The @PrintByXerox app is not the only way you can print from your mobile device. If you don’t want to go through the steps above, there is another option you can use to remotely print from your Xerox machine. 

There are two other free apps you can use on your smartphone that will allow you to print documents from your phone.  

Apple AirPrint is Apple’s approach to mobile printing and is available for the iPhone, iPad and macOS. The app allows you to print from your Xerox device and any supported application such as Mail, Safari, Notes, Photos, etc. It comes standard with Apple devices, so you do not need to download the app from the App Store.    

AirPrint can be utilized in conjunction with almost every Xerox device and setup comes automatically configured on the machine, which means it requires no additional download or purchase to implement on the printer.      

The next mobile printing app, Mopria, is exclusively for Android users and differs from Apple AirPrint in that it does not come standard with your phone and must be downloaded from the Google Play store.     

Mopria works similarly to Apple AirPrint in that users can connect automatically to their printer from their mobile device and print directly to the machine of their choice, although specific firmware may be required to download the app on your Xerox device.  

There are specific steps you need to follow to execute printing from your phone using either Apple AirPrint or Mopria, and we have written a detailed blog explaining those steps in detail.

How Can You Scan a Document Using Your Phone? 

Since you won’t be able to use the @PrintByXerox app for remote scanning, we wanted to include a section explaining how to scan a document from your phone. 

On iPhone’s, the easiest way to scan a document will be to use the “Notes” app that comes pre-installed on the device. Read our blog on how to scan a document using your iPhone to learn more. 

On Androids, you can scan a document using the Google Drive app. Read Google’s “Scan Documents with Google Drive” to see the steps.  

There are also many scanner apps on the market, like Adobe Scan, Microsoft Office Lens and CamScanner, that you can download from your phone’s app store, as well. Most of them have a free version, but there are also pro versions if you need to get more features, like exporting PDFs to Microsoft Word or PowerPoint. 

For most people, you should be able to suitably scan documents using one of the pre-installed apps or free versions of apps you can find on your device’s app store.  

What Other Apps Are in the Xerox App Gallery?  

@PrintByXerox is a useful app for printing from your phone and can help expedite your daily document processes once you get the hang of it. 

There are around 70 applications currently listed in the Xerox App Gallery, with @PrintByXerox being one of many that can help workplaces increase their efficiency when conducting daily operations.  

In the App Gallery, you will find apps like:  

  • Connect for DocuSign, which is an application that can aid daily business interactions by eliminating approval bottlenecks and keeping essential agreements moving forward quickly and efficiently. The price of the app is $14 a month, $149 a year or $315 for three years, and there is a 30-day free trial available. You must have a DocuSign account to access the app.   

  • Applications that allow for connections to cloud-based services, including Connect for Dropbox, Connect for Google Drive and Connect for Microsoft OneDrive. Subscriptions are on a per-device basis and can range from one month ($10), one year ($99) or three years ($208). 

  • The Share Patient Information app, which enables a medical practice to share patient information with other healthcare professionals and includes the ability to scan and store information directly to a patient’s chart. This is a standard application with Xerox machines.    

  • Xerox Translate and Print is a general productivity application that helps eliminate language barriers, which is especially important to multinational corporations with diverse workgroups and school districts that have a student base from multiple countries. Over 44 languages are supported on the Translate and Print app, and the cost is tallied by the scan capacity you choose. A 100-page scan capacity is $50, a 1000-page scan capacity is $203 and a 5000-page scan capacity is $528. 

Those are a few examples of the different apps you can download. There are various productivity and industry-specific applications that might be a fit for your workgroup. 

But they won’t be for everybody. As you can see in the descriptions, a lot of the apps on Xerox’s App Gallery cost money, and you need to make sure they are worth the investment before purchasing.
